We are seeking a seasoned and dynamic Office Experience Manager to oversee the administrative functions for our office. The ideal candidate will have a proven track record of successfully managing office spaces, budgets, and fostering strong vendor relationships. The candidate should be adept at team management, possess strong organisational skills, and have a deep understanding of administrative operations.

What You Will Do

A. Operational Excellence


Travel Support:
  • Organise and optimise company-wide travel arrangements.

  • Research and implement cost-saving strategies for travel.

  • Maintain detailed records and reports on travel expenses.

IT Asset Management:

  • Manage the lifecycle of IT assets from procurement to maintenance, i.e purchasing, renting, and repair of IT assets.

  • Rationalise asset policies and expenditures through pivotal partnerships.

  • Ensure IT infrastructure aligns with organisational needs and security policies.

Office Management:

  • Ensure consistent availability of office supplies.

  • Ensure the office building is safe, clean, and well-maintained.

  • Supervise office boys, ensuring efficient task completion and conducting daily briefings.

  • Maintain high standards of cleanliness, grooming, and hygiene among office boys.

  • Coordinate regular maintenance and emergency repairs.

  • Oversee the reception and proper attendance to office guests and events.

B. Resource Management


Utility & Rental Oversight:

  • Monitor electricity usage to prevent wastage.
    Seek cost optimizations for rentals.

  • Maintain accurate records of rental costs.

Internal Inventory Management:

  • Ensure uninterrupted supply of office essentials and manage utility consumption.

  • Ensure accurate records and efficient use of internal and external storage.

  • Monitor and optimise expenses related to office supplies and utilities.

Vendor Partnerships:

  • Establish corporate contracts with hotel vendors within budget.

  • Sign and renew agreements with vendors for office supplies, procuring in bulk for better pricing, and maintain accurate records of these agreements.

  • Secure regular IT asset vendors for optimal purchasing terms.

  • Manage vendor contracts for rentals and other utilities.

Reporting and Documentation:

  • Develop and maintain reports on administrative functions, highlighting insights and trends.

  • Ensure meticulous record-keeping for compliance and operational continuity.

  • Regularly maintain the admin cost dashboard and provide data and reports to management on cost efficiency and optimization.

  • Analyse reports to inform decision-making and administrative strategy.

Skills & Experiences

  • 2-4 years of proven experience in related fields such as Office Administration/Hospitality. 

  • Proven track record in administrative management, showcasing operational success for the organisation.

  • Must have an exposure in working with the senior management team.

  • Experience managing a team of 2-3 people is preferred.

  • Strong financial acumen with a track record of maintaining cost sheets & identifying cost-saving opportunities.

  • Excellent vendor management skills, including negotiation and contract management.

  • Bilingual, with proficiency in English and Hindi.

  • Familiarity with facility management.

  • Exceptional attention to detail.
